This policy must exist before the first payment is taken, for two reasons. The school — not Stripe — is the seller, so every refund and every card dispute is the school's responsibility. And a family who cannot find out the rules before paying is a family who will ask their bank instead, which costs the school both the money and a dispute fee.
1. What you are paying for
A monthly fee, per child, for the program or programs that child is enrolled in:

The first payment is due when you register, and it covers the first month. There is no separate registration fee.
On your bank or card statement, this payment appears as AR-RAHEEM ACADEMY.
2. Starting and stopping
- You may withdraw a child at any time by telling the school office in writing (email is fine).
- Withdrawal takes effect at the end of the current month. Your child may keep attending until then, and no further monthly fee is charged after that.
- If you pay automatically each month, the school stops the automatic payment once you tell us. Please tell us before your next payment date; a payment already taken is handled under section 3.
3. Refunds
- A month already started: there is no refund for that month. The place has been held and the classes are running, so the fee for a month that has begun is not refunded — in whole or in part.
- A payment taken after you withdrew: refunded in full.
- A payment taken in error (wrong amount, charged twice): refunded in full, as soon as the school is told.
- A child who never attended: refunded in full, with no administration fee deducted.
- Refunds are paid back to the card or bank account that made the payment. This normally takes 5–10 working days.
- Refunds are issued by the Principal or the Super Admin only. No other member of staff may issue one.
4. Changing programs
If a child moves from both programs to one (or the other way), the new fee starts from the next month. The month already running is charged at the fee you were on when it started. Tell the school office and we will update your payment.
5. If a payment fails or a fee is unpaid
- If an automatic payment fails, Stripe will try again over the following days and will email you.
- The school office will contact you every 5 days while the fee is unpaid — the first time 5 days after the fee was due, and again every 5 days after that, until it is settled or you have made an arrangement with us. We would much rather talk to you early than let it build up.
- A child's place is not cancelled automatically, ever, for any length of time unpaid. After 30 days unpaid, a person at the school reviews the place, having already spoken to the family. Only a person can end a place, and only after that conversation.
To be plain about the two different numbers above: 5 days is how often we get in touch. 30 days is when a person — never a computer — looks at the place. Getting in touch does not put a place at risk.
6. Fees the school absorbs
Card and bank processing fees are paid by the school. The amount you are shown is the amount you pay.

If something looks wrong with a payment, please contact the school before contacting your bank — we can almost always fix it faster, and a bank dispute costs the school an extra fee on top of the refund. Your statement will show AR-RAHEEM ACADEMY; if you see that and do not recognise it, it is us, and a phone call will sort it out.
